  1. 1. Salesperson marked as Departing

    Jake Anderson is flagged Departing in Team Management. Nothing is deleted; his records stay intact while offboarding is prepared.

  2. 2. Review what he owns

    The dealership sees Jake’s assigned customers, open follow-ups, open messages, and his lifetime referral attribution before making any change.

  3. 3. Start Deactivate & Reassign

    A Dealer Super Admin or GM opens the guided flow. This is a dealership action — the salesperson cannot do it to themselves.

  4. 4. Choose where customers go

    Pick a destination: another salesperson, the BDC Team, a manager, or the Unassigned Queue. Reassign all, selected, or in bulk.

  5. 5. Preview the transfer

    See exactly which customers, open follow-ups and open messages will move to the new owner before confirming.

  6. 6. Disable login & block access/exports

    On confirm, Jake’s login is disabled and his ability to access or export customer data is blocked.

  7. 7. Transfer open items

    Open follow-ups and unreplied messages move to the new owner so no customer is left waiting.

  8. 8. Preserve history & attribution

    Communication history, follow-up history, and Jake’s original referral attribution are preserved on the record — not erased.

  9. 9. Notify the customer

    Affected customers see “Your dealership contact has been updated.” with the new rep’s card. The dealership app, icon and links stay the same.

  10. 10. Write the activity log

    The full action — who did it, when, what moved where — is recorded in the dealership activity log.

  11. 11. Records stay with the dealership

    Jake is Deactivated. The customer relationships, data and referral credit remain owned and controlled by the dealership.
